Guidelines for Insta-Match appointment scheduling

Pre-schedule your meetings by utilizing the Insta-Match system.

La Cumbre delegates can now access Insta-Match, an online system designed to allow delegates to communicate and pre-schedule meetings amongst each other. You can utilize the system to find companies of interest.

You can automatically log into the Insta-Match system by clicking [MCInstaMatchEngALinkAuto],or use the button entitled “Access the Insta-Match System”. Once you click on the button, the system will request your delegate number and password.

These instructions are intended to guide you in requesting meetings using Insta-Match.

  • As soon as you log in to the system you will find three tabs
    situated on the top of the screen: Thursday AM, Thursday PM, and
    Friday. By default, Thursday AM will always be displayed. These
    three tabs correspond to the dates and times of your meetings.
  • Click on the Expand button, located on the upper right hand corner of the screen to view all the corresponding times and slots of available meetings. On your first time using the system, all slots will appear empty.
  • To schedule a meeting with an exhibitor, click on the empty space corresponding to the time you want to schedule the meeting in, then click on the “Request Appointment” button located on the bottom of the screen. This will open a new window.
  • The system displays options with different search criteria. Click on each of these areas to narrow your search criteria. The search criteria includes: Company type, geographic location, sales markets by region, what the company specializes in, etc. Note: The more specific your search, the less results the system will provide. If you would like to return where you were, simply click “Cancel”.
  • After selecting the search criteria,click on the “Search” button at the bottom of the screen. The system will search by the indicated parameters, and will display only those companies which are available in this time slot.
  • To view the profile of each company, click once on the name of the company, then click the “View Profile” button at the bottom of the screen.
  • When you have determined the company that interests you, click the back button, and then double click the name of the company.
  • The system will provide you with the option of selecting delegates. Make your selection.
  • Click the “Request Appointment” button, located on the lower right hand corner of the screen.
  • Repeat the previous procedure for all the various
    meeting times that you have available. Once you submit a request, it will appear in the corresponding time slot. You can view when your requests are accepted or denied inside the systems communications area. By clicking on the Preferences button in the menu to the left of the screen, you can program the system to send these messages to your email address.
  • As you
    continue to log in you will
    begin to notice that the system reflects confirmed
    meetings. Using the dropdown menu above the tabs, you can choose to filter your
    meeting times by “Unfiltered,” which displays all time slots, “Open Appointments” which displays only available slots, or “Appointments Set”, which displays only the
    confirmed slots.
  • To accept or deny requests, simply login, click on the request, and select the button to Accept or Deny. If you decide to accept the request, the meeting will now appear on the agenda of both parties, and the delegate requesting will be sent an e-mail notification. If you decide to deny the request, the delegate will be notified by e-mail.
  • You can choose to send a message
    to any delegate by clicking the “Send Message” button at the bottom of the screen.

 

Additional information you should know:

  • While awaiting the confirmation of a
    meeting request, the system displays the time as available, but will add details below the
    delegates who have requested a meeting.
  • Certain companies have identical or similar names. Before you request a
    meeting make sure that the company in question is one with which you want to meet. With that being said, make sure to review all company information and company type, country of origin, covered markets, specialty, and so on.
  • You should access the system
    several times a week to
    stay up-to-date with your appointment schedule and
    review all pending requests and respond. The process
    takes no more than a few minutes. While doing this, you
    can also search for new registered companies of
    interest to continue requesting meetings.
  • Keep in mind that the same way you send requests for
    meetings, is the same way other companies can send
    meeting requests to you. Therefore, you can view these requests by going to your Inbox to the left of the screen. It is important to respond to all requests received, whether accepted or denied,which allows delegates to progress in their
    meeting selection process. Please do not leave requests unanswered.
  • You can choose to receive incoming message notifications to your personal or business e-mail. To do this, complete the fields in the Preferences section. Note: You must access the message center to respond to your messages, you cannot do it on your device or computer.
  • As you begin to receive confirmations, take note of the specialty of the company you will be meeting with. This will help you prepare for the meetings on-site. For example:
    an exhibitor specializing in corporate travel will have different requests of those specializing in just leisure.
  • The system does not automatically sort meetings according to the location of companies in the exhibition floor. We recommend you select meetings with a printed floor plan of the event on hand.
  • If you are a Hosted Buyer, you must pre-schedule a minimum of 25 meetings using the Insta-Match system. If this condition is not met, you will automatically be removed from the Hosted Buyer program.
  • If you believe the company requesting you is a good fit but the person would need to speak to one of your colleagues not attending, use the messaging center in order to begin a dialogue. Evaluate if confirming the meeting makes sense or if your colleague can benefit of the relationship from now on.
  • If there is a company whom you would like to meet with but their schedule is already full, considering breakfasts or evening social functions. For this, the messaging center comes in handy.
